Position summary

The GLEIF Team Assistant will support the Team executing business development, project management and administrative duties, including business and technical support, purchasing and requisition, compiling and distributing documents, coordinating meetings and conferences, maintaining calendars, arranging travel, and the production of reports, spreadsheets and presentations.

Key Responsibilities

  • Manage day-to-day administrative tasks for the team
  • Manage the T&E budgeting and controlling
  • Create and maintain up to date contact lists
  • Assist with correspondence and maintain associated correspondence logs
  • Perform document and records management activities for the team, including production and composition of reports and presentations (MS Word/Powerpoint)
  • Organize and coordinate functions, such as workshops, staff events, luncheons, and meetings
  • Maintain and order department office supplies according to corporate policies
  • Maintain team calendars
  • Arrange travel for team
  • Expense reports creation and reconciliation of credit card transactions
  • Administrative duties such as copying, filing, faxing and distributing mail
  • Submit for processing and follow up on documentation requests
  • Work closely with the Communications team on event execution
  • Receive and route incoming phone calls for the team
  • Provide support on ad-hoc projects as designated by management

Experience and competencies for success

  • Experience in a multi-national, multi-cultural corporation
  • Strong office management skills with at least 5+ years of experience in similar functions
  • Bachelor degree preferred
  • Exceptional personal skills including social competency, strong cross-functional communication and people skills
  • Initiative and creativeness, flexible and able to work in a dynamic work environment
  • High energy and to be engaged both inside and outside of normal business hours
  • Demonstrated proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook) and a quick learner of processes and systems
  • Fluent spoken and written English

Reports into: Managing Director, GLEIF US Office
Management responsibility: No
Location: New Jersey, U.S.A.
Scope: Full-time

All foreign applicants from outside must have a VISA to work in the U.S.A.
