(GLEIF) is a not-for-profit organization created to support the implementation and use of the Legal
Entity Identifier (LEI). GLEIF manages a network of partners, the LEI issuing organizations, to provide
trusted services and open, reliable data for unique legal entity identification worldwide. GLEIF
services ensure the operational integrity of the Global LEI System and facilitate making the LEI a
broad public good available on our website. As a result, the LEI remains the industry standard best

Position summary

The GLEIF Assistant & Office Manager will support CEO & Management from Monday-Friday in a
timely and professional manner. The Assistant & Office Manager’s main duties include scheduling
meetings, making travel arrangements and organizing daily calendars. We seek an individual with the
ambition and skill to perform in a global organization.

Key Responsibilities:

Assistance:

  • Assist CEO and COFO with in- and external appointments and calls independently
  • Manage CEO’s and COFOS´s calendar and team calendars
  • Manage day-to-day administrative tasks for CEO & COFO (e.g., expense reports, T&E budgeting)
  • Records management activities, including production, composition, copying, filing and faxing of
    reports, presentations and meeting minutes
  • Ensure and maintain an up-to-date contact list of suppliers
  • Gatekeeping

Office Management:

  • Maintain and order office supplies including furniture and access cards according to corporate
    policies
  • Receipt, distribution and dispatch of mail
  • Provide support on ad-hoc projects as designated by superior on demand
  • Seeing to staff needs and requests like, complaints and others
  • Coordinating with cleaning service, facility manager and landlord for all office related issues

Event & Travel Management:

  • Searching for meeting and event locations national and international
  • Organize and coordinate functions, such as workshops, staff events, luncheons, catering, annual
    dinners and meetings
  • Work closely with the Communications team on event execution
  • Hotel arrangements, including contract negotiations for GLEIF participants (CEO, Board,
    Managers)
  • Travel arrangements for CEO & COFO
  • Travel coordination for Board Members and Managers
  • Event management personally at the location and ensure smooth functioning
  • Checking on the actual bill before coordinating with GLEIF’s Finance department regarding
    payment for catering and cost center
  • Support GLEIF’s Company Secretary in the preparation of Board Meetings

Experience and competencies for success

  • First Experiences in a multi-national, multi-cultural corporation is a plus
  • Strong office management skills with at least 2+ years of experience in similar functions
  • Exceptional personal skills including social competency, strong cross-functional communication
    and people skills
  • Initiative and creativeness, flexible and able to work in a dynamic work environment
  • High energy and to be engaged both inside and outside of normal business hours
  • Excellent IT Skills and demonstrated proficiency in Microsoft Office (Word, PowerPoint, Excel,
    Outlook) and a quick learner of processes and systems
  • Fluent spoken and written English and German

Management responsibility: No
Location: Frankfurt, Germany
Scope: Part-time 50 – 60 %
